All-in business accommodation in Groningen: what should your quote include?

Compare furnished accommodation on rent, utilities, cleaning, parking, deposits and company invoicing.

An all-in price is useful only when everyone understands what it covers. Ask for a written breakdown of the accommodation and any separate services before confirming. Do not assume that parking, every cleaning visit or every linen change is included just because an apartment is furnished.

Start with the accommodation itself

Confirm the apartment, occupants, dates and charging period. A two-room apartment is not necessarily a two-bedroom apartment: check the actual sleeping layout and whether colleagues need separate bedrooms.

At RUMAH, apartment information is a starting point for an enquiry. The offer for your dates should confirm the price, availability and arrangements. An enquiry does not reserve the property.

This is a comparison checklist, not a statement that every item is included in every RUMAH property.

Cleaning and laundry are different services

A regular apartment clean, a deep clean after an occupant change, and washing or replacing linen are different tasks. Specify what is needed and obtain confirmation of both availability and cost. A cleaning visit should not be taken as confirmation that a laundry service is also booked.

If employees rotate, tell the accommodation provider ahead of time. Agree the changeover, access and inventory arrangements rather than relying on the next guest to resolve missing items.

Give the correct invoicing instructions

Provide the legal company name, billing address, invoice recipients and any required purchase order or booking reference. Where a booking intermediary is involved, clarify who receives the invoice and who is responsible for payment. The guest's contact address may not be the billing address.

Ask which charges recur and which will be invoiced separately. VAT and other tax treatment should follow the confirmed offer and applicable rules, not assumptions based on another company's booking.

Confirm arrival and departure arrangements

Before arrival, make sure the guest has confirmed access instructions and the practical contact route. Share sensitive access details privately with authorised recipients, not in a public booking brief.

For departure, clarify key return, personal belongings and any agreed inspection or cleaning arrangements. If the project may extend, discuss the process early; an extension is not confirmed until agreed.

Send a brief that can be answered

Tell us your dates, guest count, bedrooms, workplace and vehicle needs. Add the cleaning and invoicing requirements that matter for your company. We can then discuss a specific offer rather than an undefined 'all-inclusive' package.
